What to Look for in an Online Booking System

This is a summary of the original webinar with Darcy Gassel from Trtyn, a trailblazing online booking software. Some information has been added to provide context/links and to create a written format of our conversation. Read on to know more about Trytn, and why it should be the next booking software on your list.

What’s the value of having online booking?

Online booking for experience providers, and for everyone in general, can increase your sales and lessen the workload that comes with your business.

How easy is it to set up an online booking system (with Trytn)?

It’s fully custom and you can set it up yourself or you can ask the Trytn team to help you set it up. We have various options – it depends from shop to shop on what they are looking for.

How to create a referral marketing system with your booking software?

Having a reseller network and partner organizations is crucial to any business. There are ways to create individual links and track all the sales related to the resellers in the backend. Outfitters can set up codes, or they can also use trackable links for operators and resellers where the sales are coming from.

How does reporting data help drive better business decisions?

The reporting can be all custom created to pull back the metrics that are the most important to each business. You can build and save your own reports and run them as needed. You can save the information by rental, by tour, by month, by an associate, etc., and save those for the future. This allows you to run comparisons by month, quarter, and year.

Reasons to switch to online rentals, pricing best practices

It’s easy to change prices on the backend by product, by day of week, or season. Most outfitters typically have more expensive holidays and weekend pricing and lower prices during the week or during the down period.

Another best practice is managing your capacity. If you know you’re selling more on a particular date, you can manage the data on the backend.

How to use booking data to schedule your staff

Staff management allows the business to create any type of role that is needed in the backend and then assign the tours to the staff members. The guides can see the bookings assigned to them and check their own calendar. Each individual can check their own schedule from their own login.

How is Trytn different from other booking software?

Trytn is focused on technology first. They took a tech-first approach, the tech team is the founding team and they are focused on the long-term success of the technology. The system loads really fast, ship out features really quickly and respond to the customer by being highly custom for each client.

Pay per booking vs. subscription-based software? What does Trytn use?

Trytn is a booking software that outfitters can use for free. Since some operators don’t have the money upfront to pay for the software fees, we follow a booking fee system where the cost of using the software can be paid by the customer at checkout, or be deducted from the subtotal.

What systems and other software does Trytn integrate with?

  • Mailchimp
  • Zapier
  • Smartwaiver

What to look for in a booking system?

First, load speed for both the front end and the back end. Ideally, the loading speed needs to be quick and snappy.

Second, it should have a demo/trial period where you can try its intuitiveness before you buy it. It is recommended that you ensure the booking system works as described.

Since about 50% of transactions are done via a mobile phone, a booking system’s mobile responsiveness should be a crucial factor to consider when choosing a booking system.

Also look for a booking system that is constantly updated.
